Registration of your own business in Poland

Działalność gospodarcza is an official registration of your own business, which allows a specialist to provide services to other companies under a B2B (business to business) agreement. You can open a residence card from your activity, and be independent of employers. Also, having good income, you can take out loans for housing, a car, etc.

If you work as a specialist, for example, a welder, a locksmith, a builder, a marketer, a consultant or any other professional, you can register your activity in Poland and work directly with companies, without drawing up an employment contract. This gives you more flexibility in choosing clients, working conditions and taxation.

Registration of działalność gospodarcza gives you the right to issue invoices, officially receive income, pay taxes and social contributions, as well as conclude contracts with companies.

How we work

First, we determine the vacancy for which you will be registered. After your approval, we begin the registration of Działalność gospodarcza.

If you already have a Profil Zaufany, PESEL and a bank account – registration can be done completely remotely, without a trip to Poland.

If you do not have these documents, you need to come to Warsaw for one day (if registration is done through us) to prepare all the necessary documents. After that, you can be in any place convenient for you, and the accountant will take care of all further work.

After submitting the documents, we wait for your data to appear in the system – usually it takes about 3 business days.

After registration of business activity, we prepare a B2B contract for you, and your accountant applies for an A1 form. And that’s it – now you are completely ready to go to work!

 

Important: Only citizens of Ukraine or EU residents can open a business. If you are a citizen of another country, then you need to open a Spółka z ograniczoną odpowiedzialnością

 

Why is this important when working under a B2B contract and for Form A1?

Form A1 confirms that you pay social contributions in Poland, even if you work in Germany. This helps to avoid double taxation and confirms your social insurance in the country of residence.

Step by step instructions

Step 1

Prepare documents

  • Passport or ID card.
  • Residence address in Poland.
  • PESEL identification number (if any).
  • Profil Zaufany (if any).
Step 2

Determine the type of activity

  • Select the type of services or goods you plan to provide (according to the PKD classifier).
  • Correctly identify PKD codes, as they are required for registration.
Step 3

Register your activity online or in the office

  • It is most convenient to register via the CEIDG platform (https://prod.ceidg.gov.pl).
  • Fill out the electronic form with your personal data and information about your activity.
  • Sign the application with an electronic signature or a trusted profile (Profil Zaufany).
Step 4

Get confirmation of registration

After submitting your application, you will receive a REGON number (business identifier) ​​and the tax and social security authorities will be automatically notified.

Step 5

Determine the tax system

  • Select the type of tax (regular tax rate, flat tax, flat tax, income and expense tax).
  • Consult an accountant or tax advisor if necessary.
Step 6

Open a business bank account (optional)

For convenience in receiving payments, you can open a separate account for your business.

Step 7

Start working and invoicing

• After registration, you can officially provide services under B2B contracts.

Invoice your clients, pay taxes and contributions.

Step 8

Pay taxes and social contributions

  • Register with ZUS (social insurance) and pay contributions regularly.
  • Tax returns are filed quarterly or annually (depending on the system chosen).

We recommend Ryczałt

For welders, the ryczałt rate is 8.5% (can be up to 12.5%). For electricians, builders and other specialists — 8.5%

 

Example:

# Calculation of tax at a flat rate of 8.5%

  • Salary: 5,000 euros
  • Exchange rate: 1 euro = 4.2415 zlotys (as of July 1, 2025)
  • Conversion into zlotys: 5,000 × 4.2415 = 21,207.5 zlotys
  • Tax: 21,207.5 × 8.5% = 1,798.64 zlotys

# Conclusion

  • With a salary of 5,000 euros, the tax is 1,798.64 PLN per month.
  • This corresponds to approximately 1,798.64 ÷ 4.2415 ≈ 424.99 EUR.
